The Health Insurance Portability and
Accountability Act (HIPAA) was signed into law in 1996.
There are number of components attached to this bill, some
are defined and others still subject to definition. The ones
which are already defined are transaction and Code sets, and
privacy. In the coming year we may see conclusions to
security, National Provider IDs and National Employer IDs.
In the future, standards will be imposed on National Health
Plan IDs, National Individual IDs, claim attachments and
enforcement. MDoffice can ease your administrative duties in
areas of patient privacy and security and by providing the
correct functionality with industry standards.
The primary areas of concern in becoming HIPAA compliant
are:
Data Security
MDoffice has built in functionality that guarantees that
your data will be secure. Access to your MDoffice data can
only be achieved with a valid username and password that you
define. With each user you specify what data and a functions
that the user can access or utilize.
Data Backup and Retrieval
MDoffice provides an easy one step process for making
backup's of your patient and billing data. You can backup
your data on demand at any time. We recommend a rotation
process for backing up your data and maintaining an off-site
backup disk.
Patient Privacy and Consent
MDoffice eases the administrative processes that you will
encounter when complying with Patient Privacy rules.
MDoffice tracks items such as the date a patient's consent
was obtained to release patient health information for the
purposes of treatment, payment or health care operations.
With each patient, MDoffice creates a separate log that
records changes to a patients' health information.
Electronic Data Interchange
MDoffice prepares electronic files for claim data used to
upload to a Clearinghouse or directly to a Payer. MDoffice
will convert all clients from National Standard Format (NSF)
to ANSI. MDoffice has completed development of claims and
remittance formats using the current ANSI (American National
Standards Institute) ASC (Accredited Standards Committee)
X12 standards.
For all our clients we will make available a Business
Associates Agreement, to satisfy each offices compliance
manual. Please do not hesitate to contact our support
department with any questions or comments regarding this
matter.
MDoffice will continue to closely follow the development of
the HIPAA requirements for security, privacy, and electronic
attachments. We are assessing our practice management
software against the proposed security rule to evaluate
necessary changes and to assure that we are in compliance.
We are prepared to quickly implement any required changes as
the final rules are published. It is MDoffice’s policy to
maintain compliance with relevant HIPAA regulations as they
are issued and become effective and to incorporate them into
future product releases.
