Think of patient information as a combination of a patient's chart (medical history) and ledger card (billing history) for handling your practice’s filing and patient administration needs. Patient information and claims are tracked separately, simplifying billing when accounting or clinical information changes.

The Patient Folder is the central hub for managing patients with their complete current and historic information. Each Patient Folder contains organized tabs and forms which hold the data needed to properly bill an account as well as their medical and accounting information including complete claim transaction history, appointments and list of family members.

MDoffice always shows patient and family balances, with or without pending insurance. When entering new patients, MDoffice automatically checks for duplicate social security numbers, birth dates and last names to warn the operator before allowing new patients to be added.

Patient Drawer
Click to view the Patient DrawerThe Patient Drawer makes it easy to quickly find, view and select any patient's complete records with intuitive searching. The Patient Drawer displays a scrolling list of all patients along with other information needed for quickly and correctly finding the correct patient. MDoffice "zeros-in" on patients as you type so patients can be accessed with a minimum number of keystrokes. After you have selected a patient, you'll be able to view and perform all other patient account related activities. Search for patients by name, Account ID, Chart ID, DOB. MRN, SSN, home phone, work phone, cell phone, city, zip code, policy ID, etc.


Patient Registration
Click to view the Patient RegistrationThe Patient Registration tab holds the bulk of patient demographic, contact and alerts information needed to quickly book appointments, document encounters and accurately complete claims. Different doctors and referring physicians can be assigned to each patient so that they are immediately available when you post charges or schedule appointments. You can also store medical and accounting alerts to automatically warn the staff to special patient conditions or needs such as drug allergies or overdue balances. Custom fields can be created for any patient to print on letters, statements, insurance claims, etc.

Patient Insurance
Click to view the Patient InsuranceThe Patient Insurance tab holds all current and past insurance policies for a patient including guarantor details. It organizes complete referral and authorization data required by insurance payors. This is where you enter the necessary insurance policy coverage and benefits for properly billing insurance carriers for services rendered. Flexible combinations of insurance coverage and benefits are maintained for each family member and facilitates coordination of benefits to complete insurance forms and for electronic submission of claims. Easily keep track each patient's visit copayments, deductibles and benefits.

Patient Cases
Click to view the Patient CasesThe Case Management tab tracks a patient's complete episode of care (injuries, accidents and ailments) for a specified incident until these medical problems are resolved. A case describes a major problem that a patient could have, both current and recurring. Use cases to record supplemental patient management information including reasons for treatment and data needed for completing auto accident (No Fault), work related cases (Worker's Comp) and personal injury (PIP) cases. The information is used for HCFA, special occupational, certification, personal injury and accident forms.

Patient Claims
Click to view the Patient ClaimsThe Patient Claims tab gives you an overview and detailed billing history of each patient visit to your practice. Claim management shows at a glance which claims have been billed and the method of delivery for the claim. Reproduce any claim with the click of a mouse. MDoffice claims look just like a conventional ledger card and contains a complete detailed history of all claims as well as a financial summary of each claim's balance including charges, payments, writeoffs and transfer events. It shows at a glance what claims have been paid, what both insurance and the patient has paid and what they owe. All claims are tracked and aged on a daily basis and all claim detail can be immediately accessed.

Patient Ledger
Click to view the Patient LedgerThe Patient Ledger tab is very similar to conventional paper ledgers, displaying key patient account activity, detailed financial transaction history and aged patient and insurance balances. It gives gives both an overview and itemized view of a patient's complete billing and financial transactions along with all payment dates. It provides a clear financial framework showing all patient transaction details and keeps a running financial balance of an account. Note that the patient's current account balance is always displayed on each formso you don't have to waste time looking up a patient's balance information whenever you deal with this patient.

Patient Schedules
Click to view the Patient SchedulesThe Patient Schedules tab is where all of your patient's scheduled appointments (past and future) as well any recalls and health maintenance reminders are logged. It displays all appointments (and recalls) for each patient and allows you to quickly add, change or print appointments. This allows you to locate and make appointments convenient for your patients (and thus more likely to be kept) and provides for easy reference. Using recalls, you can keep track of patient visit requirements months in advance for periodic (and non-periodic) health maintenance, re-exams and follow-ups.

Patient Ticklers
Click to view the Patient TicklersThe Patient Ticklers tab holds all the tasks, messages, orders and reminder history for every patient. It shows when and who was responsible along with due dates and when the task was done. It makes message taking and tasks such a patient orders more efficient and easy. Ticklers represent an always available "To Do" list with priorities and indicates which items are done and which are falling behind schedule to help to tie up all the loose ends relating to a patient. . Uncompleted patient tasks are automatically forwarded to the next day so that each patient's task list stays current.

Patient Charts
Click to view the Patient ChartsThe Patient Charts tab organizes medical and clinical history notes for reporting and caring for your patients ensuring that the appropriate clinical data is always available for review. Review progress notes, medications, allergies, lab results, check procedure histories and much more. Charts can be fully customized to provide individual customized clinical data. Providers simply select the preferred chart components to immediately access exactly the information they need. No longer waste time waiting for charts to be found and pulled when patient information needs to be viewed quickly. Patient charts provide instant and confidential access to information from various sources so that staff can get what they need when they need it.

Patient Finder
Click to view the Patient FinderThe Patient Finder provides the fastest access to a patient's data whenever you need it, instantly. See alphabetically arranged names of all of your patients, as many as 50 patients at a time, thus making finding any patient a breeze. The patients in your database can be instantaneously searched by last name, account ID, chart ID, MRN, DOB, SSN, home phone, work phone, cell phone or even insurance plan. Notice that the patient's age is shown right there on the list. Also shown are alerts which can be defined to mean anything, such as if a patient has been delinquent in making payments, you can tell that by just one glance at the screen.
